Exhibitors

The Congress is an excellent opportunity to promote the work of your organisation. There is a range of opportunities available to do so. The Exhibition space attached to the Congress will be a lively and busy environment close to the main refreshment area and is therefore an ideal setting to engage with delegates during the breaks.

Exhibitors will be allocated sufficient space to include publications and leaflets, show multi-media promotions and erect Exhibition Display Boards. The arrangements will be flexible and we will discuss your requirements with you to ensure we are able to provide you with the most appropriate exhibition space. Full set up details will be provided nearer the time.

The cost of exhibiting includes a Full Congress Delegate place for one person including an invitation to attend the Opening Reception on Tuesday evening, Refreshments and Lunch on Wednesday, Thursday and Friday and the Congress Dinner on Thursday evening. Additional staff must book separately using the Delegate Booking Form.

Sponsors

Organisations wishing to promote their work more widely at the Congress can upgrade from the Exhibitor package to being a Congress Sponsor.

The Congress Sponsor package includes all of the elements of the Exhibitor package plus:

• an additional Full Delegate Place
• a feature article, including logo, in the Congress Programme and on the Congress Website
• your banner displayed prominently on the stage during part of the Congress
• acknowledgement of your support during the Congress activities

Sponsorship can be general to the Congress or be attached to a specific part of the Congress, for example one of the Themed Symposia or the Congress Reception. Please contact us to discuss specific sponsorship opportunities.

Delegate Pack Inserts

Exhibitors and Sponsors can include a leaflet with the Delegate Pack. Other organisations can also do so at a cost of £250. Leaflets must be no bigger than A4 and must be sent to the Congress Office to arrive by 15 October 2010. Please contact the Congress Office for details.

Terms and Conditions

Exhibition spaces are for the duration of the Congress. Single day exhibition space is not available.

The Sponsor Rate and Exhibitor Fee do not include accommodation. All Sponsors and Exhibitors are responsible for arranging and paying for their own travel and accommodation.

Cancellation Policy: Whether payment has been received or not you will be liable for the full fee unless we receive written notification at least 60 days before the event, in which case you will only be charged a 20% administration fee. You may transfer your place to a colleague by informing us at any time prior to the start of the event, at no charge. No refund will be made for bookings cancelled less than 60 days before the event, or for non-attendance.

The Sponsor and Exhibitor Booking Form can be submitted as an attachment to an email or sent by post.

Requests for an invoice must be accompanied by a Purchase Order Number and the address to which the invoice is to be sent. Payment can be made at the time of booking by BACS transfer in GBP Pounds Sterling or Euro or cheque sent by post in GBP Pounds Sterling or Euro (Price in Euro to be calculated using exchange rate at time of booking). No other currencies will be accepted. If requested, a receipt will be issued once funds have cleared.

Exhibition space is limited and so you are advised to book your space in good time.
